Executive Assistant – Local Company

A local company is looking for a vibrant and dynamic individual to fill the above position. Reporting to the Managing Director, the successful applicant will, among other key duties, be responsible for:

Duties

  • Provide sophisticated calendar management for the Managing Director.

  • Act as a liaison and provide support to the Board of Directors.

  • Complete a wide range of administrative tasks including special projects, preparing complex documents, reports, and presentations, collecting information for meetings, composing correspondence, maintaining contact lists, arranging travel, and completing expense reports.

  • Serve as the primary point of contact for internal and external constituencies on matters relating to the Managing Director, including confidential and critical issues.

  • Prioritize and determine appropriate actions, referrals, or responses, exercising sound judgment aligned with the Managing Director’s style and organizational policy.

  • Keep the Managing Director informed of upcoming commitments and responsibilities, following up as necessary.

  • Monitor the environment and keep the Managing Director updated.

  • Coordinate executive team meetings and assist with staff meetings and events.

  • Act as a bridge for smooth communication between the Managing Director and staff, fostering trust and credibility with the Executive team.

  • Follow up on contacts made by the Managing Director to maintain relationships.

  • Evaluate and help develop office policies and procedures to improve workflow and anticipate future organizational needs.

  • Provide event management support when required.

  • Offer hospitality to guests and create a welcoming environment.

  • Answer phone calls and respond to inquiries.

  • Undertake other assigned projects and duties for the benefit of the organization.

Qualifications

  • Degree in Business Administration, Public Relations, Law, International Relations, or equivalent.

  • 5 Ordinary Level passes including English Language and Mathematics.

  • At least 3 years of relevant experience.

Attributes

  • Significant executive support experience.

  • Expert proficiency in Microsoft Office and desktop publishing software.

  • Ability to design and edit graphic presentations and materials.

  • Strong IT support knowledge and problem-solving skills.

  • Professionalism, confidentiality, and discretion.

  • Excellent communication skills.

  • Strong organizational and multi-tasking abilities.
