Executive Assistant – Local Company

A local company is looking for a vibrant and dynamic individual to fill the above position. Reporting to the Managing Director, the successful applicant will, among other key duties, be responsible for:
Duties
-
Provide sophisticated calendar management for the Managing Director.

Act as a liaison and provide support to the Board of Directors.

Complete a wide range of administrative tasks including special projects, preparing complex documents, reports, and presentations, collecting information for meetings, composing correspondence, maintaining contact lists, arranging travel, and completing expense reports.

Serve as the primary point of contact for internal and external constituencies on matters relating to the Managing Director, including confidential and critical issues.

Prioritize and determine appropriate actions, referrals, or responses, exercising sound judgment aligned with the Managing Director’s style and organizational policy.

Keep the Managing Director informed of upcoming commitments and responsibilities, following up as necessary.

Monitor the environment and keep the Managing Director updated.

Coordinate executive team meetings and assist with staff meetings and events.

Act as a bridge for smooth communication between the Managing Director and staff, fostering trust and credibility with the Executive team.

Follow up on contacts made by the Managing Director to maintain relationships.

Evaluate and help develop office policies and procedures to improve workflow and anticipate future organizational needs.

Provide event management support when required.

Offer hospitality to guests and create a welcoming environment.

Answer phone calls and respond to inquiries.

Undertake other assigned projects and duties for the benefit of the organization.
Qualifications
-
Degree in Business Administration, Public Relations, Law, International Relations, or equivalent.
-
5 Ordinary Level passes including English Language and Mathematics.

At least 3 years of relevant experience.

Expert proficiency in Microsoft Office and desktop publishing software.

Ability to design and edit graphic presentations and materials.

Strong IT support knowledge and problem-solving skills.
